The members management and correspondence (MMC) application is aimed
at easy and efficient membership based
organisation management. A very user friendly approach
with self guiding, error
correcting operations.
This tool is of immense help to membership based organiastions.
A simple and user friendly form is offered to fill up the details of a
contact / member. The basic information covers name,
address, contact information, birth
date etc. The membership information is entered in a separate
area with pre-definded organisation / club names and
its corresponding membership number. The age is auto calculated
each time the application is started. (figure - 1)
The birth date entry generates weekly birthdate reminder
with fields like name, birht date , email and contact information.

User Definded Categories
A very useful feature offered here is the user defined categories.
The user can create categories to group the entries as per their business
/ associtions / groups / residence etc. For example, groups like doctors,
s/w, electricians, insurences etc. can be created and further the entries
can be grouped. (figure - 2)
Reports / outputs / print can be generated according to these groups.
This is a useful approach to send correspondence, make
telephone books etc. according to their activities.
During the data entry work, a duplicate check is also
provided, for two reasons: to avoid duplicate entries going in and second:
to avoid overwriting an old entry. Verifications are carried out and user
is asked for a over writing or duplicate removal action.

A very easy and powerful search tool is offered. The search
can be done by three ways: last name, first name, and telephone no. As there
can be more than one entry for a criteria given, all those entries are shown.
The user selects the right one and further is taken to the full entry. (figure

User
Selection Criteria
A wide and detailed user selection criteria form is provided for specific
user selection. The criteria offered are: last name, first
name, address - first line, city
name (included / excluded), sex, age group
etc. The selection can also be made by the categories entered. Multiple
categories can be selected (e.g. doctors AND
member of club x etc.). Option is availabe for selecting ALL entries irrespective
of any criteria. (figure - 4)
A feature also available for just knowing the count of entries satisfying
the criteria (useful for correspondence count etc.) without actually loading
all the entries. |

Correspondence
Generation Form
A form is used for generating the correspondence draft.
Each correspondence is individually named. There are header,
body and footer sections. Header can be
used fot titles, the body has the main content and the footer for footnotes.
This is the master entry for a draft. (figure - 5)
While actually generting correspondence for many users, a draft can be selected
and if needed can be altered also, giving flexibility.
Once the letter is created it can be viewed for its layout and formation.
All the drafts entered can be surfed one by one and can be edited at the
same time. |

A special feature is offered for last minute exclusion of the selected names.
A grid based list is shown with entries satisfying the criteria given. This
is the last chance to drop some entries before the correspondence is generated.
A toggle field of yes / no is given for easy exclusion. (figure - 6)

The free size envelop
printing is a very flexible feature. The distance from
the edges on the envelope is to be entered. This will fix the address printing
area and rest is processed inside. (figure - 7) |
